OVERVIEW

The Business Proposals Coordinator will support the Firm’s efforts to secure new business by assisting in the preparation of high‑quality responses to Requests for Proposals (RFPs), Requests for Information (RFIs), panel submissions, and other similar client questionnaires across the Corporate and Litigation departments.  This writing‑intensive role requires strong organizational skills, excellent attention to detail, and the ability to synthesize, adapt and refine precedent content. The Coordinator will work directly with the Senior Business Proposals Manager and will collaborate closely with the Corporate and Litigation Business Development Teams, other administrative departments and attorneys.

RESPONSIBILITIES

  • Assists with drafting, editing and proofreading proposal responses, including tailoring content to meet the requirements of specific RFPs, RFIs and client surveys;
  • Identifies, synthesizes and iterates on previously prepared content, ensuring accuracy, alignment with Firm messaging and consistency in tone and style;
  • Coordinates directly with partners, other attorneys, business development colleagues and other administrative departments to prepare and confirm responsive information and meet proposal deadlines;
  • Organizes, evaluates, logs and tracks proposal requests, deadlines, supporting documents, stakeholder input and deliverables using internal systems;
  • Maintains and updates the Firm’s proposal content library and other internal databases, including with relevant data and standard responses to frequently requested information;
  • Ensures that all proposal materials meet internal quality standards and adhere to Firm guidelines regarding formatting, content, confidentiality and approval processes;
  • Assists in developing and maintaining procedures, templates and tools that support an efficient, consistent and scalable proposal process;
  • Helps track results of proposal submissions and maintains records that support evaluation, reporting and strategy development; and
  • Performs other duties, as assigned.

QUALIFICATIONS

  • Bachelor’s degree required, preferably in journalism, public relations/communications, marketing, English, business or a related field;
  • At least 1–2 years of prior experience in a professional services environment, preferably involving writing, editing, data tracking, project coordination or similar responsibilities. Experience within a law firm and/or with proposals, RFPs or other client‑facing communications is a plus;
  • Strong writing, editing and proofreading skills, including the ability to synthesize complex information and tailor content for specific opportunities;
  • Excellent organizational and administrative skills, including tracking deadlines, data management and maintaining detailed records;
  • Strong communication skills and the ability to independently collaborate with administrative colleagues, partners and other Firm stakeholders with professionalism and diplomacy;
  • Ability to manage multiple assignments, prioritize and meet competing deadlines (both internal and external) and work accurately under pressure;
  • Extremely detail‑oriented, with a commitment to producing polished, high‑quality deliverables;
  • Ability to maintain confidentiality and exercise a high standard of judgment and discretion;
  • Must be proficient in Microsoft Word, Excel and PowerPoint; familiarity with knowledge management systems a plus;
  • Ability to work both independently and as part of a highly collaborative team; and
  • Availability to work overtime, including nights and weekends, as needed.

This position is located in our New York office, and currently has a hybrid work schedule, but that is subject to change. The hours for this position are 9:00 a.m. to 5:00 p.m., Monday through Friday. The estimated salary range for this position is $65,000 to $72,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered.
