OVERVIEW

The Events Assistant assists with the planning and execution of Firm events (internal and external) for lawyers, clients, recruits and staff.  Events include receptions, luncheons, dinners, outings, client seminars, orientation events, client development and social events.

RESPONSIBILITIES

  • Assists the Events team with the planning and execution of all in-person events, including site selection, contract negotiation, menu selection, design of invitation, RSVPs, list management, onsite staffing, transportation and follow-up;
  • Ensures all event communications, templates and correspondence adhere to Firm style, tone and professional standards;
  • Assists the Events team with project management of larger events, including RSVPs, list management, seating plans, preparation of name badges and support materials, audio visual, onsite staffing, transportation and follow-up;
  • Provides ongoing support, including drafting of event communications, organizing data, files, and materials, compiling information, preparing routine and ad-hoc reports and responding to requests for assistance;
  • Assists with event management software (Cvent) projects and updates. Assists Events team to ensure Cvent data is complete and accurate. Runs reports as needed, assists with design and implementation of new Cvent templates;
  • Researches site venues and vendors, makes in-person connections, maintains venue/vendor files and contact details;
  • Conducts venue due diligence to ensure all partners meet Cravath quality standards, including service evaluations, space suitability, and pricing accuracy;
  • Assists Events team with on-site event preparation, execution and floor plan generation;
  • Generates name tags, place cards and other event materials;
  • Maintains the attendance records for the Events department reporting purposes;
  • Uses project management skills and tools, such as: timelines, budget worksheets, agendas and event schedules; and
  • Performs other duties, as assigned.

QUALIFICATIONS

  • Bachelor’s degree required;
  • Preferably 1 year of experience in a similar field, ideally assisting with corporate or professional events. Professional services or legal industry experience a plus;
  • Excellent communication, both verbal and written, skills;
  • Knowledge of Microsoft Word. Excel and PowerPoint;
  • Strong organizational, project and time management skills;
  • Knowledge of NY venues and vendors a plus;
  • Creativity, flexibility, adaptability, excellent teamwork skills and an ability to work cross-functionally;
  • Ability to work independently, meet multiple deadlines and respond well to change;
  • Ability to successfully interact with employees at all levels, including senior team members and Firm leadership;
  • Ability to maintain a professional demeanor;
  • Ability to adapt to Firm preferences and standards, including communication style, written guidelines and partner-specific expectations;
  • Must be articulate and client service oriented;
  • Ability to remain poised and solution-oriented under tight timelines and during high-pressure events; and
  • Availability to work overtime, including evening hours and some weekends, as needed.

This position is located in our New York office, and currently has a hybrid work schedule, but that is subject to change. The hours for this position are 9:00 a.m. to 5:00 p.m., Monday through Friday. The estimated salary range for this position is $62,000 to $65,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered.
