OVERVIEW

The Trial Site Logistics Coordinator handles trial logistics for our trial teams.  This position requires travel for site inspections and working as on-site support at trial sites around the country for extended periods of time during trial. 

RESPONSIBILITIES

  • Researches, collaborates and communicates with vendors in the city where trials will be held;
  • Sources and contracts trial sites, hotel room blocks, and trial vendors;
  • Assists with all logistics coordination, including liaising with local vendors in the lead up to trial and throughout trial;
  • Generates floor plans and prepares logistics documentation for distribution to trial team;
  • Coordinates and schedules trial set-up and breakdown with buildings and vendors, including handling COIs;
  • Travels for site visits, trial site set-up and breakdown and remains onsite for the duration of trial;
  • Collaborates closely with lawyers and paralegals as well as other administrative internal departments;
  • Provides logistical support while the trial team is at court;
  • Anticipates and proactively addresses logistical challenges to ensure a seamless trial experience;
  • Uses project management skills and tools, such as timelines, budget worksheets, agendas and schedules, to define and communicate logistics and ensure that defined procedures are implemented to flawless execution;
  • Provides ongoing support including drafting of communications to internal and external parties; organizing data, files, and materials; compiling information; preparing routine and ad-hoc reports; and responding to requests for assistance; and
  • Performs other duties as assigned.

QUALIFICATIONS

  • Bachelor’s degree required;
  • At least two years of experience in planning, logistics, or administrative work or related experience;
  • Corporate or legal experience a plus;
  • Excellent communication, both verbal and written skills;
  • Strong organizational, project and time management skills;
  • High attention to detail;
  • Ability to work effectively with lawyers, staff and vendors of all levels;
  • Creativity, flexibility, adaptability, excellent teamwork skills and an ability to work cross-functionally;
  • Ability to work independently, meet multiple deadlines, multi-task while working on competing priorities, and respond well to change;
  • Must maintain a professional demeanor; and
  • Ability to work overtime, including evenings and weekends, and travel out of state for extended periods of time based on the trial schedule.

 

This position is located in our New York office, and currently has a hybrid work schedule, but that is subject to change. The estimated salary range for this position is $60,000 to $80,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered.
