OVERVIEW

The Billing Analyst works closely with the Billing Team, clients, attorneys and their secretaries in the preparation of client billing, and is responsible for primary billing relationships with billing attorneys and clients. The Billing Analyst must have a solid billing background with the ability to handle complex billings and analyses, and provide high-level support to the Billing Partners, clients and Firm management.

 

This role responds to Partner billing-related inquiries accurately and timely, responds to client inquiries and maintains a high-standard level of accuracy in preparing and reviewing billing analysis and research. The Billing Analyst maintains various report schedules weekly, monthly, quarterly and annually, as assigned, and is expected to interact professionally with employees of all levels.

RESPONSIBILITIES

  • Coordinates and maintains billing portfolios;
  • Maintains the billing system's data;
  • Interprets and processes Partner billing instructions into the billing system;
  • Reviews time entries to ensure proper matter coding, billing rates, compliance with client guidelines and/or e-billing guidelines;
  • Prepares client bills, including preparation of narrative description bills as well as detailed progress and cost bills;
  • Ensures all analysis is proofread and accurately presented;
  • Maintains the specifics of particular billing arrangements between clients and Partners;
  • Processes bill batches as needed;
  • Responds to client billing and payment queries in a timely and accurate manner;
  • Assists with cash receipts and researches cash receipts issues;
  • Communicates effectively with staff on various billing related queries;
  • Maintains reporting schedules;
  • Prepares daily/weekly billing report for Firm management;
  • Processes both scheduled and ad-hoc billing reports for the Partners;
  • Prepares final year-end billing-related analysis;
  • Prepares client-related billing projects for Partners;
  • Submits and monitors e-bills to various e-billing sites;
  • Escalates any billing/e-billing related issues to the management team when necessary; and
  • Performs other duties as assigned.

QUALIFICATIONS

  • Associate's degree required; Bachelor’s degree preferred;
  • A minimum of 2 years of billing experience (preferably legal billing);
  • Experience with various e-billing systems, vendors, and ebillingHub;
  • Working knowledge of legal billing software databases, preferably Elite Enterprise or 3E;
  • Advanced knowledge of Microsoft Word and Excel;
  • Knowledge of LEDES electronic files;
  • Excellent written and verbal communication skills;
  • Excellent customer service skills;
  • Strong analytical and proofreading skills;
  • Detail oriented;
  • Highly organized;
  • Ability to multitask;
  • Ability to adapt to various workloads; 
  • Ability to work independently to meet deadlines; and
  • Availability to work overtime as needed.

This position is located in our New York office, and currently has a hybrid work schedule, but that is subject to change. The hours for this position are 9:30 a.m. to 5:30 p.m, Monday through Friday. The estimated salary range for this position is $70,000 to $85,000 plus overtime. The actual salary offered will be based on a wide range of factors, including relevant skills, training, experience, education, and where applicable, licensure or certification obtained. Market and Firm factors are also considered.
